Why your QuickBooks says company file in use

You can sometimes receive this error message while opening a company file, which might block you from accessing the financial data. The primary causes for this error to develop on your QB are mentioned below in detail-

  1. The hosting settings on your server & workstations are incorrectly set leading to a failure while opening the data file.
  2. The Database Server Manager’s processes in the background get blocked by the Windows Firewall or other minor issues.
  3. The company file is damaged and causes issues when QuickBooks tries to process the data file.

Steps to remove the ‘can’t open QuickBooks already has a company file open’ error message.

You won’t be able to access or use your financial data for any accounting tasks until you remove the issue triggering this error message. The techniques to resolve the company file error are discussed in the following methods-

Solution 1- Ensure you have a correct setup of the hosting setting on your QuickBooks

Company file errors in QuickBooks can develop due to multi-user mode issues that occur due to incorrect hosting settings in the software. You’ll see this error message when you try accessing the company file located on the server but multiple workstations run in multi-user mode. For a multi-user network to be successful, only the server computer must host the data file in multi-user mode and all the other systems must run in single-user mode. Here are the steps to fix the QB hosting settings-

  1. Approach the workstations where you encountered this error message and access the QB File
  2. Select Utilities in the options and click the Stop Hosting multi-user Access
  3. Apply these steps on all the workstations to switch them to single-user mode.
  4. Launch QB on the server computer and access the File menu located at the top.
  5. Click Utilities and select the Host multi-user access
  6. Restart all the systems and share the company file in multi-user mode.

Solution 2- Restart the DBSM’s background processes to remove minor glitches

Database Server Manager’s processes getting blocked in the background can also develop issues while accessing the data file. Remove QB files like QBDBMGrN.exe, QBUpdate.exe, and QBDBMgr.exe from the quarantine list of the antivirus and apply the following steps-

  1. Press the Ctrl+Alt+Delete keys together and tap the Task Manager option in the window that appears.
  2. Go to the Processes tab and single-click all the processes related to DBSM (QBDBMGrN.exe or QBDBMgr.exe).
  3. Click the End Task option at the bottom of the screen.
